HR creates employee record
HR Manager adds a new employee — name, department, designation, joining date, salary structure. The system creates the employee record and starts the onboarding flow.

Onboarding flow auto-creates IT setup ticket
When an onboarding instance is started, Ask VAI creates an IT setup ticket in the ticketing module automatically. The IT team sees it in their queue without any manual handoff from HR.

Employee clocks in from the field
A field staff member opens Ask VAI on their phone, goes to My Attendance, and clicks Clock In. The browser captures their GPS coordinates. HR can see the check-in location and time from the attendance view.

Department head approves leave
An employee submits a leave request. The department head sees it under People & HR > Leave, reviews it, and approves or rejects. The employee sees the outcome in My HR.

Payroll Manager runs monthly payroll
Payroll Manager opens Payroll > Runs, creates a run for the month, reviews employee details and salary components, marks it as approved. The output is ready for the accountant to review before disbursement.

An example
A new field staff member joins on May 19. HR creates the employee record and starts the onboarding flow. An IT setup ticket is automatically created in the ticketing module — the IT admin sees it in their queue without HR sending an email. On day one, they clock in from the job site using My Attendance on their phone; GPS coordinates are logged. At month end, the Payroll Manager runs the payroll, reviews PF and ESIC deductions, and marks the run complete. They check their payslip in My HR without calling HR.
Frequently asked questions
Is GPS attendance required or optional?
GPS capture is optional. When a user clicks Clock In, the browser requests location access. If the user declines or location is unavailable, the check-in is still recorded without GPS coordinates. The HR team can see which check-ins have location data and which do not.
Does the payroll module file statutory returns automatically?
No. The payroll module calculates PF, ESIC, and TDS fields and produces output for review. Filing statutory returns is done by your accountant or payroll executive outside the platform. Ask VAI does not connect to EPFO, ESIC portals, or the income tax system.
Can an employee see their payslip without asking HR?
Yes. After a payroll run is marked as paid, each employee can view their payslip in My HR > My Payslips. They do not need to contact HR or wait for an email.
How does the HRMS link to the ticketing module for onboarding?
When HR starts an onboarding instance for a new joiner, Ask VAI creates an IT setup ticket in the ticketing module automatically. The ticket contains the new joiner's name, joining date, and a standard checklist covering laptop, email, Slack, VPN, and access card. The IT team receives it in their normal ticket queue.
What is the DEPT_HEAD role and what can they approve?
The Department Head role can view their team's employees, leave requests, and performance records. They can approve or reject leave requests for their department. They cannot see other departments' data, edit employee records, or run payroll.
